AroFlo's Customer Service team uses Google Meet to schedule and run all client training sessions. This means:

Before Your Session
Before your training session, you'll receive an email invitation with the meeting link and details. Accept the meeting invitation to add the event to your calendar.
How do I add others to the meeting?
If you need to add other attendees (e.g. if others in your business will be joining the session), add them from the event in your calendar by editing the event > Add guests > Save, or alternatively, forward the email invitation to them.

Join the Meeting
At the scheduled time of your training session, either open:
- the email your consultant has sent, or
- the event in your calendar
and click Join with Google Meet.
Once your consultant has joined, they will admit you to the session.
Audio Settings
If necessary, click the up arrow beside the microphone button to change your device(s) where sound is being picked up from and audio is coming from (e.g. your computer speakers/mic, or a headset). Click the settings cog to access more options. Audio mute Click to temporarily put yourself on mute. Click again to turn off. |

Video Settings
If necessary, click the up arrow beside the camera button to change your camera (e.g. your laptop may have a camera or you may have a webcam). Click the settings cog to access more options. Pause camera Click to temporarily stop showing your camera. Click again to turn back on. |

Layout Options
When in your Google Meet session, you can change your layout any time you need to as this will only affect your own view and not everyone in the session.
Click the (three dots) > Change Layout.
We recommend using the Spotlight layout, as this increases visibility of screens being shared.
Alternatively, you can minimize your own tile on the screen. This doesn’t turn off your video, but it minimizes your tile to take up less space on the screen.
You can also minimize other people's tiles by choosing Don’t Watch.
Present your screen
To share your screen with your consultant, click the present screen button . We recommend sharing your entire screen. If you get the infinity screen, switch to the window you want to present.
Using two screens?
If you're using two screens, it's a good idea to keep the Google Meet window open on one, and your AroFlo window open on the other.
To enable your AroFlo consultant to annotate on-screen, the easiest way to do this is to click the (three dots) on your consultant's tile > Add as co-annotator. Alternatively, you can click the People menu and click the (three dots) beside the person you want to be able to annotate > Add as co-annotator.
- Annotation is only available when you're joining the meeting via a Chrome browser.
- Annotations are only visible within the Google Meet window itself and not directly on the screen you are sharing.
Record your Meeting
Your consultant will record the meeting and it will be provided to you via automated email once the recording is ready - usually within four hours after your session has finished. From here, you can download the recording if you want to store it for future reference.
Alternatively, you can view the recording from the calendar event, however, the file is temporary and won't remain there forever, and is view-only and cannot be downloaded from here.

Joining by phone
If you aren't near a computer, don't have the necessary setup for video calling, or for some reason can't get your audio and video equipment to work, you can join the session by phone. Look for the Join by phone option from the event in your calendar, or email invitation.
If others in your business need to join by phone, you can find the details in the info menu on the Google Meet screen.
