Learn how to quickly schedule jobs in AroFlo Field straight from your mobile device

Users in the Field can schedule ad hoc events, tasks and quotes for multiple resources straight from their mobile device. Whether you're recording a job schedule on the run, or letting your boss know you've got a flat tyre and are unavailable, scheduling in the field is a great way to keep everyone in the loop.

  • No need to access a computer to add, edit or delete a calendar schedule.
  • Create and schedule new tasks and quotes from the field.
  • Schedule overheads like Personal Leave without leaving AroFlo Field.
  • Schedule events using existing Tasks and Quotes.
  • Schedule for multiple resources, assets or crews.
 

Old vs New interface

Field Scheduling is only available in the new interface. To turn on the new interface:

  1. Tap the top left (Menubutton.
  2. Tap All Pages to New View.
 
 
 

 

Create a Schedule

When you're on the go in the field and need to quickly set a schedule, or add an overhead, there's no better way than AroFlo Field. Adding something to your schedule in Field immediately makes it visible in Office.

Users can set ad hocs, overheads, and task or quote schedules in the same way:

Use the filter in the Calendar or Timeline as a handy way to check on the availability of assets and crews prior to trying to schedule them in the Field.

  1. Log into AroFlo Field, then click the (menu) button and then Schedule.
  2. From either Timeline or Calendar view, tap the (green plus button), then select the Schedule option of your choice. 

    Scheduling from the Task List

    You can also follow the same instructions from () > Tasks, however, after saving the schedule you will need to go to either Timeline or Calendar to be able to see it.

     
     
  3. If you are scheduling a Task or a Quote, click (magnifying glass) in the top right of the next screen.
  4. Search for and tap the task or quote you want to schedule and then tap Select.
  5. For all schedule types, select a time, dates, and your resources; however,
    1. for ad hoc events enter the title and description of the schedule.
    2.  for overheads, select the relevant type. For more information on overheads, see Overheads.
  6. Tap Create Schedule to finish adding your schedule.

What is an ad hoc event?

Sets a calendar entry for something other than a task, quote, or periodic, for example, meetings, training sessions, personal errands, or reminders.

Staff can see ad hoc events in their scheduled task list in AroFlo Field, which makes it a useful tool for broadcasting important messages or scheduling task placeholders that come up over the course of the day.

How do I select multiple schedule dates?

Tap the date selector while creating your schedule, tap any relevant dates and then Select.

 
 

What kind of resources can I add?

Just like scheduling in AroFlo Office, you can set schedules for users and assets or crews if they have been set up. Simply select the resource category, then tap the name to add the resource to the schedule.

 
 

Using Calendar view allows you to tap the time you want to schedule the event and AroFlo will pre-fill this for you.

 

While you cannot change a task or quote from a Field schedule, you can simply delete the schedule and recreate it using the correct task if you make a mistake.

 
 

What do I do when my resources don't start or finish this event at the same time?

  1. Tap the event on the Calendar
  2. Edit Schedule
  3. Tap the Shared Note, Start and Finish Time toggle
  4. Tap the name of the resource you want to change.
  5. You will see an independent start and finish time you can adjust as necessary.
  6. Tap Save.
 
 

 

Create a Task/Quote and Schedule

You can also create a Task or Quote and schedule it at the same time:

  1. Log into AroFlo Field, then click the Menu button () and then Schedule.
  2. From either Timeline or Calendar view, tap the button, then select Schedule > Task/Quote of your choice.

    Scheduling from the Task List

    You can also follow the same instructions from () > Tasks; however, after saving the schedule you will need to go to either Timeline or Calendar to be able to see it.

     
     
  3. Click, next to the Task or Quote field.
  4.  Either select or create a Client (). Location is optional, but can also be created if it is new. 
  5. Enter all of the relevant details for the task or quote. Task/Quote Name is mandatory.
  6. Tap Create Task/Quote > Yes.
  7. Select a time, dates, and resources.

Delete or Edit a Schedule

From the Field Calendar

  1. Tap a schedule to edit.
  2. Tap Edit Schedule.
  3. Change any schedule details or hit Delete to delete the schedule.
 
 

From the Field Timeline

  1. Tap the icon on the schedule.
  2. Tap Edit Schedule.
  3. Change any schedule details or hit Delete to delete the schedule.
 
 

To delete a schedule for only one resource:

  1. Tap a schedule to edit.
  2. Tap a resource.
  3. Tap Remove.
 

 

Lock or Hide a Schedule

Tap the three dots in the top right of the Edit Schedule window to Lock or Hide a Schedule. Remember to Save for the changes to take effect.

  • Hidden schedules appear transparent in the Calendar and are only visible to those with set permissions (such as the pre-built Management permission group). See Hide a Schedule for more information.
  • Locking a schedule means it cannot be edited. Management and Supervisors or those with permission can edit a schedule to be locked or unlocked. Any user can view the lock status on a schedule. See Lock a Schedule for more information.

To unhide or unlock a schedule, tap the relevant button in the Edit Schedule window of a locked or hidden schedule.
