Learn how AroFlo's Offline mode works for recording job-related information out of service

Use Offline Mode to make key task details like task information and task notes available to sync for offline viewing for instances when you're working in an area with poor or no cellular service.

Basic steps:

  1. Before going offline, make the relevant tasks available for Offline access
  2. While Offline, view task information as necessary
  3. Sync tasks back Online.

FAQ

How does it work?

Offline Mode lets you choose existing tasks to make available offline. This means you'll store a copy of the task to your own device which you can view while offline, and then once back in service, your changes are merged back into the existing, live task.

Can I view and record information to sync to original tasks?

Currently, you can view certain information for existing tasks, including task notes, and you can also create new notes. In future phases, you will be able to record further information such as labour and then sync them to the task when back online.

 
 

 

Make tasks available offline

Single task

Before going offline, you need to make the task available for offline viewing.

To do this, open the relevant task and tap the More tab (three dots) > Make Available Offline.

The task will refresh and will display a green banner at the top telling you the task is synced to offline mode

Required forms

If the task contains required compliance forms that need to be completed prior to starting a task, these will need to be completed first before you're able to make the task available for offline. See Required Compliance Forms in AroFlo Field.

 
 
 
 

Multiple tasks

Before going offline, you need to make the tasks you need available for offline viewing.

To do this, open a relevant task and tap the More tab (three dots) > Make Available Offline.

The task will refresh and will display a green banner at the top telling you the task is synced to offline. Repeat this for each task you need to make available for offline viewing.

Required forms

If tasks contain required compliance forms that need to be completed prior to starting a task, these will need to be completed first before you're able to make the task available for offline. See Required Compliance Forms in AroFlo Field.

 
 
 
 

Via Schedule

Alternatively, if tasks have been scheduled to you, you can also make them available for offline viewing from your schedule for the current day by tapping (three dots) > Make Tasks Available Offline.

The (three dots) icon will change to a cloud icon and info will display in a green indicator for each task.

Single or multiple

This works for both a single task or multiple.

 
 
 
 

View Offline Details (optional)

Once a task has been synced to offline, you can tap More (three dots) > View Offline Details to see what information has been synced to offline. Tap the (right arrow) if you want to view additional information about each segment.
 
 
 

Changes to Task

If changes have been made to a task since you synced it to offline mode (e.g. you've changed the Task Status), you'll see an orange banner at the top of the Task Worksheet and Offline Details, prompting you to resync. Tap this to resync your changes to Offline mode. This will also be indicated in your schedule, if you were scheduled to the task. Tap the sync icon > Make Tasks Available Offline to resolve this.

Open Offline Mode and access tasks

Single task

Now that you're in an area with limited phone reception, you can start using Offline mode and access the task you made available for offline viewing.

Tap Go Offline on the green banner at the top of the worksheet.

From here, view the task details as necessary.

In phase 1 of Offline Mode, you'll be able to view much of the task's information but you won't be able to edit any information.

 
 

Alternative methods

  • If you're no longer on the task you need, tap the Profile menu > Offline mode > tap the task you want to access and then go offline from there.
  • Alternatively, from the Profile menu > Offline mode, tap Go Offline and then select the offline task you need to work on, either from your task list or schedule if you were scheduled to the task.
  • Or if you're viewing the offline details on a task, tap Go Offline at the bottom of the page.
  • If you made tasks available for offline from your schedule (see above), tap a task to go to the worksheet and Go Offline from there.
 
 
 
 

Multiple tasks

Now that you're in an area with limited phone reception, you can start using Offline mode and access the tasks you made available for offline viewing.

  1. Tap the Profile menu
  2. Tap Offline mode to access the Offline Tasks List
  3. Go Offline
  4. Select the offline task you need to work on.

Alternatively, from the Offline Tasks List, tap the task you want to access and then go offline from there (see above).

From here, view task details as necessary.

In phase 1 of Offline Mode, you'll be able to view much of the task's information but you won't be able to edit any information.

 
 

Changes to Tasks

If changes have been made to a task since you synced it to offline mode (e.g. you've changed the Task Status), you'll see an orange banner at the top of the Offline Tasks List prompting you to resync. Tap this to resync your changes to Offline mode, or alternatively tap the task in question and resync from there.

 
 
 
 
 

 

Sync Task Online

Single task

Once you've finished browsing your offline task and you're back in an area with reception, sync your data back online by tapping Sync Online from the orange banner at the top of the Task Worksheet > Go Online & Sync.
 
 
 

Multiple tasks

Once you've finished browsing your tasks offline and you're back in an area with reception, sync your data back online for all tasks.

  1. Tap the Offline pill at the top of the screen to return to the Offline Tasks List
  2. Tap Go Online & Sync.
 
 
 

 

Clear Tasks from Offline (optional)

Single task

When you no longer require the task to be saved for Offline use (i.e. once the job at hand has been completed), you can remove the Offline data via the Offline Details.

  1. Tap More (three dots) > View Offline Details
  2. Tap the (three dots) at the top > Remove Offline Availability and confirm.

This can also be done via the Offline Task List by tapping (three dots) beside the relevant task > Remove Offline Availability and confirm.

 
 
 
 

Multiple tasks

When you no longer require tasks to be saved for Offline use (i.e. once the jobs at hand have been completed), you can remove the Offline data for all offline tasks via the Offline Task List:

  1. Tap the Profile menu
  2. Tap Offline mode
  3. Tap the (three dots) in the header > Remove All Offline Data and confirm.

Alternatively, to remove Offline data for individual tasks, tap the (three dots) beside the relevant task > Remove Offline Availability and confirm.

 

 
 
 

Offline availability

The default settings for Offline mode are:

  • to keep task data available for offline viewing, even once synced to the live task
  • to remove unused offline tasks after 30 days.

If you want to change any of these settings, tap (cog) at the top of the Offline Task List (Profile menu > Offline mode) and toggle the relevant setting to off.

Setting Explanation
Keep offline availability after sync If you don't want to retain task data once synced to the live task, toggle this setting to off. This will automatically delete task data from Offline once synced to the Online task and you won't need to remove the data yourself.
Remove unused offline tasks after 30 days AroFlo will automatically remove offline tasks after 30 days of inactivity. If you want to keep this data, toggle this setting to off.
 
 

 

Add Task Notes while offline

You can add task notes while offline:

  1. Tap the Notes tab
  2. Tap (green plus) to create your note
  3. Type your note and Save Note once finished

    Tap to access the note filters or to make the note a sticky note. See Add and View Notes in AroFlo Field for more information.

     
  4. Remember to sync your task when back online (see above).

 

Edit or delete note

You're able to make changes to your note or delete it entirely before the note is synced:

  1. Tap the note or the (pencil)
    1. Make changes as above, remembering to Save Note, or
    2. To delete the note, tap > Delete Note.

If the note has already been synced to online, you can still edit or delete it. See Edit Notes in AroFlo Field.
